Frequently Asked Questions
Everything you need to know about ordering professional staff ID cards from Prime ID, from your first design and quote to quick repeat orders for new starters.
Ordering Staff ID Cards
How much do staff ID cards cost?
The price depends on how many cards you need and whether you’d like extras such as double-sided printing, card holders or lanyards. Prime ID offers quantity discounts, so the price per card reduces for larger orders, while our no minimum order means you can still order just one card when you need to. For an instant price based on exactly what you need, use our Quick Quoter.
Can I see what our ID cards will look like before ordering?
Yes. We offer a free design preview, so you can see how your organisation’s branding could look on a professionally designed staff ID card before committing to an order. Simply send us your logo and any ideas or requirements you have and we can create a design for you to review.
Is there a minimum order for staff ID cards?
No. You can order as little as one ID card, making Prime ID suitable whether you need cards for an entire workforce, a handful of employees or simply one card for a new starter. Larger orders benefit from quantity discounts, while future new starters and replacements can still be ordered individually.
Do I need to design the ID cards myself?
No. Design help is included, so you don’t need design software or print-ready artwork. Send us your logo, staff details and any requirements you have and we can help create a professional design to suit your organisation. If however you already have a design, we can work with that too.
I have lots of staff. What’s the easiest way to order their ID cards?
You don’t need to enter every employee individually. For larger orders, you can provide your staff details using a simple spreadsheet together with your staff photos, making it much quicker to order cards for a whole team. We’ll take care of turning that information into professionally produced ID cards based on your approved design.
How quickly will I receive my ID cards?
Orders are normally dispatched the next working day, with delivery generally taking a further 2–3 working days. If you have a particularly urgent requirement or a larger order with a specific deadline, please contact us and we’ll advise what’s possible.
Repeat Orders & New Starters
How easy is it to order ID cards for new starters?
Very easy. Prime ID is set up to make repeat ordering straightforward, whether you need one new card or several. Once your organisation has an established design, you don’t need to start the process again every time somebody joins your team. Existing customers can use our dedicated repeat ordering system to submit new staff details and photos quickly.
Do you keep our ID card design for future orders?
Yes. Once your organisation’s ID card design has been created, it can be used for future new starters and replacement cards. This helps keep your staff ID cards consistent and professionally branded as your team changes and grows, without having to redesign them every time you order.
Can I order just one replacement or new-starter card?
Yes. There’s no minimum order, so you can order a single card whenever somebody joins, loses their card, changes role or needs an updated photograph. You don’t have to wait until you have enough staff to justify placing another bulk order.
What’s the easiest way to manage ID cards when staff change regularly?
Using a supplier that keeps your established design and allows individual repeat orders can remove much of the administration involved. With Prime ID, your design can be reused and new starters or replacements can be ordered individually as required, without minimum order quantities or redesigning your cards each time. Our dedicated repeat ordering process is designed specifically to make ongoing staff changes easier to manage.
Ordering Cards vs Printing Your Own
Should we order finished ID cards or buy our own ID card printer?
For many small and medium-sized organisations, ordering professionally printed cards is simpler and more cost-effective than buying and maintaining an ID card printer. Printing in-house means purchasing the printer itself as well as ribbons, blank cards, cleaning supplies and potentially design software. Someone also needs to manage the equipment, artwork and printing. With Prime ID, you can order professionally designed and printed cards as you need them, with no minimum order. That means even if you regularly recruit new staff, you don’t necessarily need to invest in your own printing equipment. For organisations producing very large numbers of cards continuously, an in-house printer may make sense. For many businesses, care providers, schools and nurseries, outsourcing removes the equipment, maintenance and administration.
Is it expensive to order individual ID cards for new starters?
It doesn’t have to be. Prime ID has no minimum order, so once your main team has been supplied, you can simply order individual cards as new employees join rather than building up a batch or investing in your own printing equipment. Your established design can be reused too, making ongoing ordering much simpler.
Photos, Design & Personalisation
What information can we put on our staff ID cards?
Your cards can be personalised with information such as: • Staff name • Job title • Staff photograph • Organisation logo • Employee or ID number • Expiry date • QR code • Contact or organisation details The exact layout can be tailored to suit your organisation and how the cards will be used. If you’re unsure what to include, we can help you create a clear, professional design.
Our staff photos aren’t very professional. Can you help?
Yes. You don’t need professionally taken photographs to order professional-looking ID cards. We can help improve and prepare supplied staff photographs for ID card printing, helping create a cleaner and more consistent appearance across your team.
Can you add QR codes to our ID cards?
Yes. We can add QR codes containing or linking to suitable information you provide, such as your organisation’s website or an online staff verification page. QR codes can be incorporated professionally into the card design alongside your usual staff information and branding or alternatively on the rear of the card.
Can every employee have different details?
Yes. Every card can be individually personalised with a different name, photograph, job title, staff number, expiry date, QR code or other variable information. You can still maintain one consistent branded design across the whole organisation while personalising the information for each employee.
Can you print on both sides of our ID cards?
Yes. We offer single-sided and double-sided ID card printing. The reverse can be used for additional information such as contact details, instructions, company information, QR codes or other information relevant to your organisation. Or if required, we can simply print the same design and data on both sides.
Complete ID Cards, Holders & Lanyards
Can you supply lanyards and card holders too?
Yes. You can order your staff ID cards together with lanyards and protective card holders, giving you a complete ready-to-use staff ID solution without having to source everything separately. You can also order cards on their own if you already have holders and lanyards.
Can we choose different lanyard colours?
Yes. We offer a range of lanyard colours, allowing you to choose something that complements your organisation’s branding or use different colours for different teams or purposes where required.
Do I need to buy a new holder and lanyard with every replacement card?
No. Cards, holders and lanyards can be ordered according to what you actually need. If an existing employee simply needs a replacement card, there’s no need to purchase another holder and lanyard if their existing ones are still suitable.
Care Homes & Care Providers
Do you specialise in ID cards for care homes and care providers?
Care is one of the main sectors we supply, including care homes, domiciliary care providers and other care organisations across the UK. We understand that care providers often need to manage new starters, staff changes and replacement cards, which is why we’ve made both initial ordering and ongoing repeat orders as straightforward as possible. Prime ID supplies ID cards to organisations across the care, education and business sectors, with hundreds of organisations already using our services.
What should we include on a care worker ID card?
Most care organisations include the employee’s photograph, name, job title and organisation branding. Depending on your requirements, you can also include an employee number, expiry date, QR code or additional information on the reverse. We can help create a clear, professional layout rather than requiring you to design the card yourself.
We recruit regularly. Is Prime ID suitable for ongoing new starters?
Yes. This is where no minimum orders and simple repeat ordering become particularly useful. Once your organisation’s design is established, individual cards for new starters can be ordered as and when you need them. There’s no need to wait until you have a large batch of employees requiring cards.
Can different staff roles use the same ID card design?
Yes. Everyone from care assistants and support workers to nurses, managers and office staff can use the same professionally branded design while displaying their own name, photograph, job title and individual details. This helps maintain a consistent identity across your organisation.
Pricing & Larger Orders
Do you offer discounts for larger ID card orders?
Yes. We offer quantity-based pricing, so larger orders benefit from a lower price per card. You still retain the flexibility to order individual new-starter and replacement cards later, without a minimum order. For a quick indication of cost, you can price your requirements online.
Can I get a quote before ordering?
Yes. You can use our Quick Quoter to get an instant price based on the number of cards and options you require. If your requirements are more complex or you’d prefer to discuss a larger order with us, just get in touch.
Quality & Sustainability
Do you offer environmentally friendly ID card options?
Yes. We offer Eco-PVC cards made from 100% recycled PVC, together with recycled PET lanyards and BioBadge card holders. This allows organisations to choose a more environmentally conscious complete staff ID solution while maintaining a professional appearance.
Are your ID cards suitable for everyday staff use?
Yes. Our staff ID cards are professionally printed and designed for everyday workplace identification. Our cards are also supplied with Holokote®, a special protective security overcoat which both protects the card from wear, and prevents fraudulent duplication. Protective card holders and lanyards can also be supplied to provide a complete solution ready for your staff to use.
